With the advent of technology and globalization, organizations are adopting all ways and means of getting their work done faster, better and with utmost efficiency. Also, the top management takes pride in stating that their organisation is absolutely tech savvy and are investing largely in applications and software that make their work easy. A number of organizations have switched to a new Microsoft product called Office 365; which comes with many new features that can be used for smoother business operations,
yet most organizations and top management who boast of being tech savvy do not realize that the company cannot be tech savvy until the each of their employee is.
For such organisations, Ms Office 365 is just a “New Version” of MS Office. Well, my friends, it is indeed a new version with enhanced capabilities and features. The Office 365 version is backed by cloud feature, which facilitates employees in taking the productivity and collaboration to a new level altogether. But sadly, I have seen that most of the users of Office 365 are not even aware of the new features in it; they end up using the same old method of file sharing like file attachment, sending multiple emails, creating multiple version of the same document, etc. The office 365 has few exceptional features like:
1. You can share the file with any person, and you can revoke the access to the document even after having sent the file to the recipient
2. Sharepoint can alone work as intranet website, document library, data sharing and collection tool
3. Onedrive brings a new way of backing up data and sharing the files easily that eliminates/ decreases the need of sharing the file as an attachment
4. 1 TB of online storage is given to the users, there are tricks available to make optimum utilisation of that
5. OneNote can bring the revolution in documenting the information amongst the users
6. Reduce the phone bills by encouraging users to make call using Skype for business
7. Excel can accommodate 10,48,576 rows and 16,384 columns, use PowerPivot to go beyond
the capacity of Excel so that you can forget the row count.
8. PowerPoint has got some cool features like, 3D model, Morph transition, icons, etc.
9. Word has the feature of Co-Authoring
10. Office 365 teams that enables the team to interact and work closely than ever before
Mere procurement and provision of a software doesn’t guarantee its optimum usage. The truth is that most employees are unaware of all the features of Office 365 and hence are unable to use them to gain maximum benefit.
Companies spend a lot of money to train their employees to become good “Managers”, who surprisingly become excellent ones, and “manage” their work on MS Office with their never-honed, crippled technical capabilities. While huge amounts are invested in managerial capability building, some amount ought to be used to build the technical capability of the employees too. Once the employees are thoroughly trained on using a software like Office 365, only and only then can it be considered an
optimum Return on Investment. As it is rightly said – to succeed, a company needs a solid foundation in the basics of technical literacy.
The new tool office 365 is a huge yet profitable investment for the benefit of any organisation.
In order to get the most out of this investment, each and every employee should be trained on it, as this will ensure higher productivity, greater efficiency and, in turn, lead to a happy work culture.
And it is the management’s responsibility to ascertain that these results are not just an option but are actually attainable by getting every employee trained on the new tool.
If not optimally utilised, the “dead investment” can become a “questionable investment”.
